Privacy notice

YOUR INFORMATION AND YOUR CHOICES

This notice explains how W3 Solutionz FZE, United Arab Emirates, uses information in connection with W3 Solutionz Academy. It applies to visitors, learners, team coordinators, assessors and people who contact us about academy services. Contact us through Help & support for privacy questions or requests.

Information we collect

  • Account information: your name, email address, verification status, account role and consent or preference records.
  • Learning information: course enrolments, access dates, lesson progress, quiz attempts, assignment submissions, assessment feedback and completion records.
  • Transaction information: order references, billing information, amounts, payment status and refund records supplied through checkout and payment services.
  • Support information: messages, relevant attachments and the details needed to investigate a request.
  • Technical information: session identifiers, connection information and security events needed to operate and protect the service. Hosting and delivery services may keep additional technical logs.

Please do not submit payment-card details, passwords, verification codes, sensitive personal records or confidential third-party information in course work or support messages unless we have specifically agreed a suitable and necessary process.

Why we use it

We use information to create and protect accounts, verify email ownership, deliver learning, manage access and payments, assess work, issue and check certificates, coordinate agreed team training, respond to support requests and investigate misuse or disputes. We also retain records needed for applicable legal, accounting and contractual obligations.

Where a processing activity requires consent, we seek it for that purpose. Other activities are necessary to provide the requested service or meet an applicable obligation. We assess the appropriate basis for each activity and do not treat acceptance of this notice as permission for unrelated uses.

Who can receive information

Authorised academy staff and assigned assessors receive access needed for their responsibilities. Service providers may process information for hosting, email delivery, payments, video delivery, security, backups and technical support. Their access should be limited to the service they provide. A payment provider processes the details you submit to its payment flow under its own applicable notice.

Where an employer or organisation arranges your training, its authorised coordinator can see information such as your name, assigned course, progress and access status for that team. Ask your organisation how it uses that information. We may also disclose information where required by law, to respond to a valid authority request or to establish or defend a legal claim.

Certificate verification

A certificate verification link contains a reference to the learning record. A person who has the link can view the learner name, course, issue details and status made available by the verification page. It does not display the learner’s email address, password or assessment answers. Share your link thoughtfully and contact us if a record needs correction or review.

Account security and password checks

Email verification codes expire and are limited against repeated attempts. The academy stores passwords using the platform’s password-hashing mechanism. When you create or reset a password, a breached-password check sends a short hash prefix to the checking service; it does not send your password or full password hash. Staff accounts use an additional authentication step.

No online service can promise absolute security. Use a unique password, keep access to your email secure and contact us promptly if you suspect someone else is using your account.

Cookies and external services

Essential cookies and similar browser storage support sign-in, verification, security, cart and checkout functions. Blocking them may prevent those features from working. Embedded media or payment services may connect your browser to the provider when you use them and may set their own cookies. Review the provider’s notice and your browser controls.

Any optional analytics, advertising or similar technology requires a separate assessment and, where required, an appropriate choice before activation. Course-news preferences are separate from essential service communications. You can ask support to change a marketing preference; necessary account, order and learning messages may still be sent.

Where information is processed

Information may be processed in the UAE or in other locations used by authorised service providers and support teams. When an international transfer requires safeguards, we assess and apply the measures required by the applicable rules. Contact us for information about providers and relevant processing arrangements.

How long we keep information

Retention depends on the record and its purpose. Expired verification and rate-limit records are routinely cleared. Core security audit events are normally retained for 90 days; separate hosting or provider logs can have different periods. Enrolment, assessment, transaction and certificate records may need to remain after active access ends to support learning history, verification, accounting, complaints or legal requirements.

We review retention requests against these purposes and applicable obligations. Backup copies may remain until the normal backup cycle replaces them. Closing an account does not necessarily require immediate deletion of every related record.

Your requests and choices

You may ask about access to your information, correction of inaccurate details, deletion, restriction, objection, portability or withdrawal of consent where the relevant right applies. Contact support using your registered email and describe the request. We may ask for proportionate information to confirm ownership and will explain any limitation that affects the response.

Withdrawing consent does not invalidate earlier lawful processing. If information is necessary to provide a requested service, removing it may affect our ability to continue that service. You may raise an unresolved concern with the competent authority where applicable.

Changes to this notice

We may update this notice when the service or its processing arrangements change. The page’s revision date identifies the current version. A material change that requires a fresh notice or choice will be handled before the affected use.
